Exhibitor FAQ's
Here are some of the questions you may have.
Where is the event being held?
The Woolworths New Zealand Experience is held on Wednesday 8th and Thursday 9th October 2025.
Address: Auckland Showgrounds (previously ASB Showgrounds), 217 Green Lane West, Epsom, Auckland 1051.
There is plenty of free parking available onsite for the duration of the event.
We encourage carpooling, or using public transport if you are able to.
Additionally an invite only supplier update will be held on the 7th October, also at the Showgrounds.

Will there an in-person Supplier Update be a part of this event?
Yes, there will be an in-person Supplier Update on Tuesday 7 October (3pm arrivals for a 4pm start) at the Showgrounds. Invitations for this event have been sent separately.
When can I pack in my stand?
Pack In: Tuesday 7th October 2025 - 8:30am - 6:00pm.
Deliveries will be accepted on Monday 6th October 2025 - 9:00am - 5:00pm only.

No deliveries will be accepted after this time.
All build, design, signage, furniture should all be in place and finalised by Tuesday 6:00pm.
The venue will close promptly at 6:30pm for the night.
Final touches can be made on Wednesday 8th October from 7:30am, e.g. bringing in anything fresh, before the expo floor officially opens at 8:30am.
When can I pack out?
You may begin a soft pack-out (e.g. pack out items that don't cause disruption), from 3:30pm on Thursday 9th, with no vehicle movements permitted until after 5:30pm.
Pack-out is scheduled for Thursday 9th October from 5:30pm – 9:00pm, immediately following the completion of the event.
We strongly encourage all exhibitors to complete pack-out on Thursday 9th October.
If pack-out on Thursday is not possible, please ensure all major collections are completed on Friday 10th October between 8:00am and 1:00pm.
Please note, our storage area in Hall 1 will not be available on Friday 10th October this year. All items must be removed during pack-out on Thursday 9th October (5:30pm–9:00pm). Anything left behind will be moved by our staff. The responsibility of all your items lies solely with you as the exhibitor.
It is your responsibility to supply and manage all products and furniture for your stand. The event organisers and venue accept no responsibility for any loss or damage to these items.
What do I do when I arrive for pack in?
On Tuesday 7th (pack-in day), please report to the Exhibitor Registration Desk in the foyer of The Showgrounds, outside Hall 3, when you arrive.
You can collect your exhibitor passes and essential information at this time. While exhibitor passes only need to be worn on the show days (Wednesday 8th and Thursday 9th), we strongly encourage you to collect them during Tuesday’s pack-in so you have them ready for show day.
Please ensure that everyone is wearing hi-vis and closed-toe shoes.
Also please note that trolleys will not be provided, if you would like to use a trolley for pack in, please bring one with you to site.
Can I deliver items before the pack in date?
Unfortunately not. Due to security reasons, the venue will not allow early deliveries.
All deliveries must arrive only on Monday 6th October.
Please note all deliveries that are required to be chilled or frozen must arrive on Tuesday 7th October only - these will not be accepted on Monday as there will be no provided refrigeration or freezer space. If you require freezer or refrigeration at your stand or in the storage area, you will need to organise this through Exhibition Hire.
Please make sure your deliveries are clearly marked with your company name, and stand number so we can ensure this delivery is set aside for you. You can download a pre-made label to use for your deliveries HERE.
When can I collect items after pack down?
All items must be packed out and collected on Thursday 9th October.
If pack-out on Thursday is not possible, please ensure all major collections are completed on Friday 10th October between 8:00am and 1:00pm.
Is there truck access?
Yes, on-site security will help to control movements.
How many people will be attending the expo?
We will have 800 Woolworths team members from across all business units, including Store Managers, Merchandise Managers and other key staff walking the expo across the two days.
Will catering be provided for stand holders?
Yes, lunch will be provided on day 1 and 2 in the catering zone, and morning tea will be provided on day 2.
What is my stand like?
You would have ordered one of the following three stand sizes:
3m x 3m
3m x 6m
3m x 9m
All stand wall heights are 2.5m high.
The booths have separate infills that fit into the rails / posts. If you wish to have walls printed, Exhibition Hire Services can organise this for you.
Signage infill sizes are 968 x 2355mm per panel.
All stands are octex white booths with smooth surface walls.
Please note these are NOT velcro walls.
You are welcome to use blue tac or 3M hook adhesives on these walls which must be removed cleanly afterwards. No permanent markings of any kind are permitted on the panels, e.g. screws, nails, etc. Any damage will be charged at full replacement cost.
Flooring will be venue flooring (charcoal carpet tiles) If you require an alternative, please fill out a separate hire flooring order form.
Please note, the responsibility for the security of all items within your stand lies solely with you as the exhibitor. Please ensure you take appropriate measures to look after your stand throughout the event, particularly when leaving it unattended.

What if I have a small supplier stand?
You will have a 1.5m x 1m space.
Each space includes:
- A 1m octex counter (optional branding)
- A 1.5m infill panel on the back wall (optional branding)
If you require power, please request 1 x 10amp power through Exhibition Hire.
Please note: Any branding or additional requirements must be organised directly with Exhibition Hire at the cost of the small supplier stand holder — the order deadline is the 13th September.
What electrical equipment can I bring?
Your stand will have:
- 2 x 10amp power source and 2 x spotlights
- Double stands at 6m x 3m will be provided with 4 x 10 amp power source and 4 x spotlights
All electrical equipment must be tested and tagged - these will be checked.
Helpful hints to determine your supply requirements: Identify all electrical appliances, motors, lights, TVs, computers, kettles etc. intended to be used on your site. Check their specifications or labels for current usage.
Most electrical appliances have a tag on them which tells you the amps (A) or watts (W) of the appliance. It’s usually something like ‘1.2A’ or ‘300W’. Please make sure that any electrical usage within your stand does not exceed 10amps.

How can I order extra items for my stand?
Exhibition Hire is our hire partner for this event.

How are you managing rubbish and recycling?
There will be compost and recycling systems set up onsite to ensure that a maximum amount is diverted from landfill.
We are encouraging you to have as little waste as possible but there will be a landfill skip onsite for rubbish you are unable to put in the organic waste bins, or into recycling.
What can I do with leftover items?

We are once again partnering with KiwiHarvest who has supported us on this event for many years.
We will have clearly labeled drop off zones in the storage area (back of house) which we will use to collect all of the leftover items to then be donated to KiwiHarvest for redistribution.
Any items remaining on your stand or in your back-of-house storage that are not clearly labeled by Friday morning will be designated for donation to KiwiHarvest.
What packaging can I bring?
Firstly, please consider the necessity of packaging and whether there are opportunities for reduction.
Please consider using reusable items instead of single-use items for your stand.
If packaging is deemed essential, please explore methods to collect, clean, dry, and recycle it at the designated onsite facilities.
In the event that your stand necessitates single-use packaging, we kindly request that you make every effort to bring items in compostable packaging.
Compostable packaging options include materials such as potato starch, corn starch, wood or wood pulp (e.g. cardboard packaging), poly lactic acid (PLA) (e.g. plates and cups), and cutlery made from wood, bamboo, or PLA.
Beverages should be served in compostable paper or plastic cups, or ideally in reusable crockery.
Please consider the use of supplies with reduced environmental impacts, such as non-toxic cleaners, as well as reusable containers for transporting food to the event site.
Do I need to bring my own KeepCup?
Help us reduce waste by bringing your favourite reusable coffee cup along.
Our barista coffee will taste even better in it!
Will there be storage space?
Yes, we will provide a shared storage area.
We have security onsite but items left here will be of your own responsibility.
Will there be chilled storage space?
No. If you require additional chilled storage space, we have a large storage area available, however you will need to order your own refrigerators and freezers for this space through the Exhibition Hire booking form linked at the top of this page.
Do I need a food safety certificate?
- Appropriately licensed caterers and exhibitors supplying food samples are to operate in accordance with all food management regulations.
- Those supplying food are to take steps to maintain a high standard of food hygiene at all times.
- Food temperatures to be checked and recorded by caterers as required by legislation.
- Samples to be appropriately sized.
- Ingredients/allergens to be able to be communicate easily to attendees.
What do I need to do for allergies?
We ask that you have a full list of ingredients ready, should you be asked what is in the products.
What size do alcohol samples need to be?

Samples size is strictly to be poured at the following measurements:
30mls for beer, wine and cider.
WWE don't sell spirits or RTDs.
If you are sampling alcohol however, you must adhere to the following rules:
- No sales are to be made, sampling only. Visitors should not be given the option to purchase any alcohol for on or off-site consumption.
- Free water must be available on your stand.
IMPORTANT:
Exhibitors sampling alcoholic products are responsible for adhering to Government regulations and responsible service of alcohol guidelines. We ask that you do not serve visitors you consider to be intoxicated or under 18 years of age. Staff working on these stands must also be aware of these regulations.
What about prize giveaways?

Alcohol cannot be offered as a prize giveaway, as this is prohibited under both the Gaming Act and the Sale and Supply of Alcohol Act.
Can I provide free, unopened, full size samples?

Yes - however these must not be consumed onsite or promoted ahead of the event.
